The Recreation Assistant plays a vital role in ensuring the smooth and efficient operations of the Community Services department’s facility rental program. This position provides a wide range of support services for department operations, activities, and programs, as well as city-wide events. This position requires a Tuesday through Saturday work schedule, which includes regular weekend and evening availability to support facility rentals, programs, and special events.
Reporting to the Recreation Supervisor, the Recreation Assistant works closely with the Recreation Supervisor and Recreation Coordinator to plan, organize, schedule, and coordinate the use of city parks, outdoor spaces and facilities. This position is also responsible for planning and executing event set-ups and take-downs, and the training and supervision of the part-time staff that are responsible for facility preparation and oversight.

- Assists in the coordination and scheduling of all Community Services department facilities in Los Altos using the recreation registration software system (CivicRec). This includes all Community Services department buildings as well as gyms, sports fields, and rentable picnic areas
- Works with all facility users to ensure needs are met to maximize the positive experience of park and facility use, including city, non-profit, public and corporate customers.
- Coordinates the retrieval, moving, setting up, cleaning up, removal and storage of all chairs, tables, equipment, and supplies for a variety of locations, activities and events.
- Maintains inventory of facility equipment and supplies. Recommends repairs, including short and long-term improvements.
- Performs light maintenance of city vehicles, including interior and exterior cleaning, fueling or charging, and visual monitoring of fluids.
- Recruits, trains, schedules, and directs hourly employees and volunteers.
- With assistance and direction from the Recreation Coordinator, documents and monitors hourly staff performance to ensure services and activities are delivered at the highest customer service level possible.
- Tours and supervises parks and facilities, and provides hands-on assistance or guidance when necessary.

Minimum QualificationsEXPERIENCE AND EDUCATION:
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
EDUCATION
- High school diploma or equivalent.
EXPERIENCE
- 2 years of experience providing public services, information, and directions; arranging and coordinating group functions and activities; performing minor maintenance and repairs; and moving and storing equipment, furniture, and supplies.
- Supervisory experience desirable.
LICENSES & CERTIFICATIONS
- Must possess a valid California driver’s license and have a satisfactory driving record.
KNOWLEDGE OF
The principles, practices and technology used in the coordination of community facility usage. This includes extensive customer service experience, familiarity with facility components and equipment used for meetings and programs, ability to create and manage spreadsheets, and experience with facility reservation software.
SKILL AND ABILITY TO
Respond effectively to facility issues and citizen needs; establish and maintain cooperative working relationships with others; maintain accurate, organized and complete records; use basic computer applications including Microsoft Office and CivicRec; train and coordinate the work of hourly and volunteer personnel; prepare reports and other written information; make sound decisions in a manner consistent with the essential job functions; effectively communicate with others, and assimilate and understand information in a manner with the essential job functions; work in a variety of conditions including indoor, outdoors, standing, sitting alone and in the proximities of others; work irregular hours including nights, weekends and holidays.
Supplemental InformationPHYSICAL REQUIREMENTS AND GENERAL WORKING CONDITIONSRegularly required to sit or stand, reach, bend, and walk about the facilities or program sites while performing the duties. Repetitive hand and arm motion, and fine finger manipulation in the use of a computer. Moderate physical effort required, including lifting up to 40 pounds. May be exposed to dust, odors, oil, fumes and noise while carrying out regular duties.
