About the Role
The ETSU Program Phase 1 projects began construction in late 2021, launching the largest capital improvement program in the District’s history. The projects will renew and replace aging infrastructure, improve water quality in the San Francisco Bay through enhanced wastewater treatment processes and nutrient removal, and increase the facility’s resiliency to extreme wet-weather events and climate change.

As the ETSU Administrative Specialist I, you'll be the organizational backbone for a team dedicated to advancing the District’s mission to protect the environment.

Examples of Duties

Key Responsibilities:

You will provide administrative services and support for the ETSU Team while gaining detailed knowledge of the team functions and processes. Below are the main duties of this position. You can also find the full job description here .

  • Provide support for ETSU-related projects, including but not limited to:
    • Serve as recorder at pre-construction and weekly construction meetings with the Project Manager.
    • Review project expenditures for accurate accounting, reasons for large expenses on a monthly basis; correct errors; meet with management to review and make additional adjustments as appropriate.
    • Provide support for tracking project equipment O&M manual reviews and training materials development and training scheduling.
  • Provide administrative support for the ETSU Team, including but not limited to:
    • Prepare written updated tasks and project assignments for check-in meetings with the Coach.
    • Maintain Team Standard Operating Procedures (SOPs).
    • Prepare team Board items for Board of Directors Meetings; gather data and finalize document; submit to Assistant to General Manager/Board Clerk; update the ETSU portal site; route for signatures; update the records portal site with executed documents.
    • Train back-up to handle specified duties as needed.


Qualifications

  • Two years of college (or equivalent experience) with coursework in business and computer applications PLUS two years of responsible administrative or technical office experience.
  • Proficiency in Microsoft Office and other common business software, e.g., budget software, Adobe Acrobat, or Bluebeam.
  • Strong interpersonal and communication skills and a team-first mindset.
  • Thrives in a fast-paced, detail-oriented environment.
  • Can juggle multiple responsibilities with accuracy and professionalism.

  • This position is fully benefited and funded for one year. Any continuation beyond the initial one-year term is subject to future funding, organizational needs, and applicable approval, and it is not guaranteed.
