Position DescriptionChampions a values based culture to promote unit effectiveness. Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor.
Major/Essential Functions- Provides direct support to the Clinic Department Administrator in the oversight of daily clinic operations.
- Manages the day-to-day activities of the Patient Services team, ensuring efficient patient flow and high-quality service delivery.
- Conducts performance evaluations and provides disciplinary coaching for Patient Services Specials (PSS) in alignment with organizational policies and standards.
- Supervises PSS in the scheduling of appointments, patient check-in/check-out processes, and the accurate maintenance of patient records.
- Promotes a positive and collaborative work environment, encouraging teamwork and professional growth.
- Develops and maintains the PSS staff schedule in alignment with clinic operations and staffing requirements.
- Demonstrates proficiency in fulfilling the responsibilities of the PSS role as needed to support clinic operations.
- Coordinates and monitors training programs for front office staff to ensure competency and consistency in service delivery.
- Oversees the processing of clinic charges, submission of insurance claims, and timely responses to inquiries from patients and insurance providers.
- Conducts verification of third-party insurance coverage and benefits.
- Ensures compliance with organizational policies and procedures related to cash handling and financial transactions.
- Prepares and submits administrative reports as requested by leadership.
- Employs effective communication strategies to enhance internal and external interactions.
Required QualificationsHigh school diploma or equivalent. A minimum of five (5) years of customer service experience of which two (2) years are in an of supervisory role. Experience in a clinic or physician's office preferred. OR At least three (3) years of experience at TTUHSC in the Patient Services Program, one (1) year of supervisory experience.
