job descriptionThe responsibilities of this position include but are not limited to:
- Budget Coordination - Perform budget preparation and coordination activities, including preparing budget estimates, reviewing and tracking budget reports, handling cost accounting activities, analyzing cost expenditures; maintaining work order hierarchies; prepare reports, graphs, and charts; and make recommendations.
- Personnel Administration - Prepare/review documentation such as requests to fill positions, certification requests, allocation requests, bid/transfer/reassignment opportunity notices, and interview selection packages. Conduct or provide investigative support to various managers and/or supervisors. May serve as EEO and Reasonable Accommodation coordinator.
- Provide support and act as Assistant Project Coordinator for the digitization of Department documents, including reporting progress to the Digitization Project Coordinator and management; liaison with Records Center, Information Technology Services Division, and other Division Directors and stakeholders; contract administration, maintain and track digitization progress and schedule, and general administration.
- Compliance Programs/Program Coordination - Support LADWP and Regulatory Compliance administration. Fill various coordinator roles such as CPRA Coordinator, Information Technology Authority Coordinator, and WorkTech Local Administrator. As CPRA Coordinator, monitor CPRA requests, research/prepare requested documents, and seek advice from the City Attorney's Office when needed.
- Contract Support - Prepare specifications, Requests for Proposals, Purchase Order Adjustments, personal service agreements; review analyze and resolve invoice issues.
- May develop work processes, procedures, as well as prepare and update desk manuals.
- Perform time-sensitive work assignments as required and assigned to ad hoc special projects.
- Perform general professional administrative support including researching and analyzing data, conduct reviews, resolve a variety of administrative issues, write analytical and narrative reports, and provide back-up support coverage for other Regulatory Compliance Management Analyst positions.
- Support special projects for the division, as needed.
Candidates will be evaluated for job-related competencies which may include, but are not limited to skills, knowledge, and abilities associated with:
- Knowledge of City and LADWP administrative, budget, personnel, contract administration, and safety policies, practices, and procedures.
- Knowledge of and the ability to interpret personnel rules, policies, procedures, and authoritative documents, such as the City Charter, Civil Service Rules, Administrative Manuals, Memoranda of Understanding, Equal Employment Opportunity policies, and related State and Federal laws.
- Knowledge of Microsoft Office Suite.
- Ability to maintain confidentiality and use discretion to handle highly sensitive issues and information.
- Ability to communicate clearly, concisely, and effectively, both orally and in writing with individuals at various levels of an organization.
- Ability to prepare and interpret mathematical and statistical computations, charts, graphs, and data.
- Ability to multi-task to meet deadlines and demonstrate flexibility when responding to shifting priorities.
- Ability to exercise sound independent judgement.
- Knowledge of effective safety principles and practices.
Candidates will be evaluated by interview. A performance test may be administered. A valid California Class C Driver’s License is required and must be maintained throughout employment. Overtime may be required with little advanced notice. A background check will be conducted, including review of personnel folder.
