Working Title: Housing Support Coordinator Department Name: University Housing Division: Student Affairs Classification Title: Administrative Support Coordinator I Classification Salary Range: $3,864 - $6,072 per month
The anticipated hiring range for this position is $3,864 - $4,166 per month.
The final salary is dependent upon qualifications and experience.
About the Department/Position: Under the general supervision of the Associate Director for Housing Facilities, and in support of all Housing managers, the Housing Administrative Support Coordinator works independently and is responsible for all aspects of clerical and administrative support within the department. The position will assist with building and room access using Housing's electronic key system and is also responsible for tracking all invoices and requisitions, as well as supplies needed, ordered and received by University Housing. This position tracks all facilities-related work orders (monitoring and communication) and assists the Associate Director for Facilities with billing and correspondences with department, campus, and external vendors. The position is also responsible for departmental timekeeping duties and for submitting hiring/termination paperwork for the department; email, phone and in-person reception duties, providing answers to general inquiries and routine questions. May provide lead direction to student assistants. This is an in-person/on-site position.
Overview of Duties and Responsibilities: - Liaise with Housing and Facilities Services to coordinate effective work order entries.
- Track all work orders through completion using available software and communicate with residents and staff to help ensure excellent service delivery.
- Compile summary reports of work orders to show operational effectiveness and student satisfaction.
- Oversee clerical and administrative duties for the housing department which include data entry and inventory module.
- Acts as receptionist and provides answers to general inquiries and routine questions.
Minimum Qualifications: - High school program, technical/vocational program, or their equivalents combined with several years of related office work experience equivalent to three (3) or more years.
Knowledge, Skills, and Abilities: - Learn, interpret and apply University Housing policies and procedures.
- Coordinate and organize multiple projects and tasks to determine relative importance of each.
- Set deadlines and complete projects accordingly.
- Independently handle multiple work unit priorities and projects.
- Apply independently a wide variety of policies and procedures where specific guidelines may not exist.
Preferred Qualifications: - 3-5 years related experience in general clerical and/or experience in working on a university campus and in an on- or off campus residential setting.
- Bachelor's degree
- Working knowledge of and/or skill in Microsoft Office applications, Housing software such as StarRez occupancy management and Onity electronic key management); Facilities Services work order software such as Tamis; and various other University software systems and modules (i.e. Peoplesoft).
